B. Applicant Procedure
The process for prospective members to join the organization involves several structured steps designed to ensure proper vetting and adherence to organizational standards. The applicant procedure is crucial for maintaining the integrity, quality, and organizational cohesion of the chapter and the broader organization.
1. Initial Approach:
Interested individuals who wish to join the organization must first approach a bona fide member of the Philippine Guild of Barangay Innovators (PGBI). This designated member acts as a point of contact and facilitator in guiding the applicant through the membership process.
2. Acquisition of Application Form:
– The bona fide member provides the interested applicant with the official application form for membership.
– The applicant is responsible for obtaining the form, which serves as the formal document to declare their intent to join the organization.
3. Filling Out the Application Form:
– The applicant must carefully complete the application form, providing accurate and complete information as required.
– This may include personal details, qualifications, reasons for joining, and other relevant information as stipulated in the form.
4. Submission and Review:
– Once the application form is filled out, it must be submitted to the designated reviewing body or committee within the organization.
– The review process involves evaluating the applicant’s credentials, motivations, and compliance with membership criteria.
– The organization may conduct interviews or background checks as part of the review.
5. Acceptance and Membership Formalization:
– If the application is approved, the applicant is formally accepted as a member of the organization.
– Membership acceptance may be communicated through official correspondence or a formal onboarding process.
6. Formation and Election of Chapter Officers:
– Upon acceptance as members, new members participate in forming a chapter, if not already established.
– The chapter then proceeds to elect or appoint chapter officers (such as President, Vice President, Secretary, Treasurer, etc.) following the organization’s governance procedures.
– These officers will be responsible for managing the chapter’s activities and ensuring compliance with organizational policies.
7. Adherence to Membership Procedures (See Article III):
– All applicants must strictly follow the procedures outlined in Article III of the organization’s governance documents.
– This includes compliance with membership eligibility criteria, documentation requirements, and procedural steps.
8. Acquisition of PGBI Form 1 (Application for Accreditation):
– Applicants are also required to complete and submit PGBI Form 1 (Application for Accreditation), which is a formal document used to seek official accreditation or affiliation at the organizational level.
– This form is essential for formal recognition and integration into the organization’s official records.
9. Initial Membership Requirements:
– For a Barangay, Institutional, Municipal, District, or Component City Chapter to be initially accredited or affiliated, it must comprise at least twenty (20) members.
– This minimum membership threshold ensures a viable and active chapter capable of functioning effectively from its inception.
In summary, the applicant procedure involves approaching an existing bona fide member, acquiring and completing the membership application form, submitting it for review, and following the organization’s established membership procedures. Once accepted, members are involved in forming chapters and electing or appointing chapter officers, with the requirement that initial chapters meet the minimum membership of twenty (20) members during initial accreditation or affiliation.
